De grootste nieuwe "feature" in iPhone OS 4 is natuurlijk de introductie van "multitasking" (juist nu Microsoft multitasking uit Windows Phone 7 grotendeels heeft verwijderd). Dat haalt meteen één van de grootste bezwaren tegen de iPad onderuit. Daarnaast zal de "unified" inbox (één mailbox waar alle mail van je mailaccounts in worden weergegeven) ook een welkome aanvulling zijn voor zakelijke gebruikers. Tevens kunnen attachments in e-mails nu ook direct worden geopend in de bijhorende App.

Verbeteringen die volgens Apple puur op de zakelijke gebruikers zijn gericht zijn:

• Data Protectie - e-mail en attachment encryptie wordt nu standaard ondersteund en Apps kunnen gebruikmaken van nieuwe API (Application Programmer Interfaces) om informatie te versleutelen.
• Draadloze App distributie - bedrijven kunnen nu Apps installeren op hun iPhones via Wi-Fi en 3G (zonder de iPhone met een computer te hoeven te verbinden).
• Verbeterde Mail - meerdere Exchange accounts op één iPhone én de hierboven al genoemde "unified" inbox en 'attachment openen in App' ondersteuning.
• Centraal beheer - alle iPhones binnen bedrijf kunnen nu centraal beheerd worden (instellingen aanpassen, Apps installeren en updaten, remote wipe (wissen van iPhone (bij bijvoorbeeld diefstal of verlies) of remote lock (vergrendelen). Het is even afwachten wat voor een applicaties hier voor beschikbaar komen maar het zal ongetwijfeld het beheer eenvoudiger maken dan met Blackberry Enterprise Server.
• SSL VPN support - standaard support voor beveiligde verbindingen met het kantoornetwerk met toekomstige Apps van Cisco en Juniper. Hierdoor wordt het mogelijk om de iPhone automatisch verbinding te laten maken (of houden) met het kantoornetwerk waardoor interne web-applicaties bijvoorbeeld toegankelijk kunnen zijn via de iPhone browser of via custom-build Apps.

Vooral de encryptie van mail verkeer maakt de iPhone een nog betere Blackberry-killer. Inclusief de verbeterde beheersmogelijkheden maakt dat het investeren in een Blackberry Enterprise Server (BES) (inclusief de benodigde serverhardware, onderhoud en updates) in mijn ogen redelijk overbodig.

Enige struikelblokken in de iPhone vs. Blackberry discussie zijn nu nog:

• touchscreen toetsenbord vs. echt toetsenbord (voor de meeste Blackberries)
• voor Nederland - de iPhone wordt officieel alleen via T-Mobile geleverd

iPhone OS komt deze zomer uit voor iPhone (3G en 3GS + waarschijnlijk het nieuwe iPhone model dat tegen die tijd uitkomt). De iPhone 3G zal niet alle functies ondersteunen (geen multitasking bijvoorbeeld).

It will be very interesting to see how this is going to play out in the Netherlands. nFlow is being represented on the Dutch market by dFlow while BigHand has been sold and supported by I.R.I.S. (formerly Morningstar Systems). The two companies where directly competing as such.

Als iPhone gebruiker (waar al langere tijd een geweldige LinkedIn applicatie voor bestaat) zeg ik maar: "beter laat dan nooit". Het verbaasde mij eigenlijk dat er niet eerder een fatsoenlijke LinkedIn app voor de Blackberry beschikbaar was.

In het algemeen vinden de meeste gebruikers de LinkedIn (en ook bijvoorbeeld de Facebook) app van de iPhone eenvoudiger en fijner in gebruik dan de gewone website versie. Dat is een interessante trend die met de komst van iPad (en bijhorende apps) zich hoogstwaarschijnlijk verder door zal zetten. Het zal interessant zijn om te zien of de Blackberry hier ook mee in kan gaan.

Modern computer operating systems are (still) simply too hard to understand for most people. The same goes for most smart phones. There are thousands of people who hold on to the "I just want a phone that can call" adagium. On the other hand, there are plenty of people that actually want - or even had - a smart phone (one that can read e-mail, browse the web, play some music, take and show pictures, etc.) - but were never capable of fully understanding it. If I ask a typical Blackberry user (even those who have a Curve, Bold or Bold 2): "How often browse the web on their Blackberry?", the answer is usually: "never" (or: "I did not know that was possible"). Every iPhone user browses the web (either through one of the apps or through the standard Safari browser on a daily basis.

A category of its own

Apple has seen that their version of a smartphone has redefined the way people use their phone and has made it possible for non-technical users to perform various tasks on this single device. The iPhone has started to outgrow the 'smartphone' label - it is now used a small hand-held computer.

The logical next step for Apple is to take the success of the iPhone platform - both the iPhone Operating System with its consistent and easy-to-use interface (multitouch and well-designed hardware and software interface elements) and the concept of Apps and the App store - to another platform. The simplest approach: to increase the size of the screen (and thus the device) so that the tasks that require a little more screen real estate (like reading a book, office documents or long e-mails) will become a lot easier.

Huge success

The Apple iPad is going to be a huge success. Maybe the initial success will be smaller than that of the iPhone but in many ways the iPad is a lot more revolutionary. The iPhone is still seen as a phone -- and we had many of those already. The iPad will be the first modern (2010s) hand-held computer that is truly easy-to-use and versatile. That is why the iPad is classified as a device that defines a whole new category of its own.

In your private life the iPad will (among others) be useful for:

• Any type of information consumption (reading, video's, podcasts, the web, etc.)
• Digital photo book - holding your photo database and sharing these pictures with family and friends ('here Dad, take a look at our recent vacation pictures')
• e-Learning (language learning, cooking instructions, DIY instructions etc.)
• Games and Entertainment (it will not be long before you can play Farmville on your iPad)
• Communication (mail, chat, phone (Skype), and eventually - in a future version - video calls)

Professional usage?

But what about professional usage? How will this be a useful device to have in your law firm?

At first, the iPad will mostly be a success in the private sphere of life, just like the iPhone initially was less focused on the business world. But as our business life and private life will continue to become more intertwined - so will the usage of the iPad. Even with the initial lack of multitasking will the iPad be useful for usage in your professional life. Multitasking is a myth in its own anyway - people can not really multitask and studies have found that active multi-taskers tend to be less productive than single-taskers. The iPhone does not have multitasking (yet) and is still extremely useful (also as a business device). Instead of having to bring a stack of documents to your next meeting, you just bring your iPad and flip to documents right there. Checking and responding to e-mail will be a lot easier than on your (smart)phone.

The iPad will be success in your private life - and therefore it will be a success in your business life. You might want to keep those two fully separated. But most of us are still slaves to our Blackberries (or iPhones). So as you are lying on the beach during your two week holiday this summer, you will be enjoying being able to read the latest news or that newly purchased eBook on your iPad. You will also be grateful that you can check your (work) e-mail on the device. After all - you were expecting an important message - but were reluctant to bring your laptop to the beach (who does that, really?). This is just one example of how the business usage of the iPad (or the category of devices that it represents) will be creeping into your business life through your private life. That is aside from the direct business application that the device will undoubtedly have a short while from now.

Conclusion - get ready for a new breed of computer devices to claim a role in your personal and business life. As soon as you see your fellow lawyer (or neighbor) sporting his or her new iPad - you will be wondering whether you should get one as well. Leave it up to Apple to continue making products that have that effect.

"March’s LTi claims a ‘raft of new law firm wins’ for Docscorp. No details are provided what products were sold but the implication is they include document comparison. We feel obliged to point out that some of the firms mentioned have actually renewed their Workshare licenses and even looking to purchase more. We hear that one of the so called Docscorp ‘wins’ in a larger account was for only 4, yes 4 seats. Four of the ‘wins’ have less than 100 lawyers in total. Since the previous public announcement of a Docscorp win (March’09) Workshare has won or renewed over 20,000 licenses in the UK alone. Now that really is worth shouting about."

Persoonlijk ben ik nooit echt gediend van "opgeklopte" persberichten maar tegelijkertijd is dat nou eenmaal de taal van marketing. Iedere manager ontwikkelt (hopelijk) vanzelf een automatisch filter om door de marketing taal heen te kijken.

De markt voor documentvergelijking, PDF conversie, PDF beheer en OCR is in ieder geval nog steeds volop in ontwikkeling. Op het gebied van documentvergelijking zijn Workshare en compareDocs al lange tijd de bekende opties in de legal IT markt. Een ander pakket "Softinterface Diff Doc" richt zich minder specifiek op de "legal" markt en lijkt weinig meerwaarde te bieden ten opzicht van Workshare en compareDocs. De laatste vergelijking die ik tussen Workshare en compareDocs heb gedaan, stamt alweer uit juli 2008: pdfDocs CompareDocs vs. Workshare Compare. Beide pakketten zijn sindsdien sterk verbeterd.

Wat kan Dropbox

Dropbox werkt heel simpel: je maakt een account aan via de website en download de software voor Windows, Mac OS of Linux (of installeert de iPhone app via de App Store). Na installatie heeft Dropbox een map aangemaakt: je Dropbox "folder" en draait er een klein programma (Dropbox) dat deze map continu in de gaten houdt. Alles wat je vervolgens in deze map plaatst, wordt automatisch ge-synced (gekopieerd) naar je Dropbox account op het internet.

De bestanden in je Dropbox folder kan je ook direct via de website van Dropbox benaderen door daar in te loggen. Je hebt dus altijd toegang tot de bestanden in je Dropbox. Maar je kan je Dropbox account ook op meerdere computers activeren (door Dropbox te installeren en je accountgegeven in te voeren). Hierdoor komen ook op die andere computers je Dropbox bestanden beschikbaar.

1. Alles wat je in je Dropbox plaatst wordt dus automatisch gekopieerd naar je account op de Dropbox servers: je hebt dus automatisch een backup.
2. Als je op meerdere computers werkt (thuiscomputer, privé laptop, werk laptop), kan je op al deze computers over dezelfde bestanden beschikken (zonder er over na te hoeven denken).

Simpel Document Management

Maar Dropbox kan nog veel meer en vooral een aantal van deze extra functies maken van Dropbox een krachtige zakelijk tool: Document Management maar dan zonder complexe of kostbare Document Management software.

• Sharing - het delen van submappen in je Dropbox is supereenvoudig. Je geeft het e-mailadres van degene die je toegang wilt geven tot de map en hij/zij kan ook deze map benaderen van de eigen Dropbox. Privé deel je zo je belangrijke bestanden en foto's met je partner/familie én zakelijk met je kantoorgenoten of zakenpartner.
• Versiebeheer - Dropbox houdt automatisch versies bij van de documenten in je Dropbox map. Heb je een bestand verwijderd, dan kan je dit eenvoudig ongedaan maken door in de geschiedenis van de map te kijken (via de Dropbox webinterface). Wil je een paar versies terug gaan in een Word document, dan kan dat eenvoudig met Dropbox.
• Foto gallerie - foto's delen met een groep mensen. Dropbox heeft een speciale Photos map waar van alle submappen automatisch een "web gallery" wordt gemaakt. De geheime link naar deze foto pagina's kan je vervolgens doorsturen naar andere mensen die daar de foto's kunnen inzien en kunnen downloaden (eventueel in de originele bestandsgrootte dus met de volle fotokwaliteit).

Deze opties maken Dropbox een superhandige tool - ook voor zakelijk gebruik. De gratis versie heeft 2 gigabyte opslagruimte. Ruim voldoende voor gebruik met office bestanden. Heb je behoefte aan meer opslagruimte (bijvoorbeeld voor dat fotoarchief van 30 GB of het zakenarchief van de afgelopen 15 jaar) dan zijn er abonnementen beschikbaar van 50GB en 100GB.

Persoonlijke noot: toen ik begin 2009 Dropbox ontdekte, was ik meteen verkocht. Nu gebruik ik het privé en zakelijk intensief. De iPhone applicatie kwam afgelopen najaar uit en geeft nog meer het gevoel altijd over je belangrijke bestanden te kunnen beschikken (hoewel de webversie van je Dropbox ook prima werkte op je iPhone). Daarbij bieden andere iPhone applicaties steeds vaker een koppeling naar Dropbox. Zo heeft Scanner Pro de optie om een gescand bestand direct in je Dropbox op te slaan (waarbij het meteen ook op je computer staat). Voor reizen gebruik ik Dropbox vaak om alle reisdocumentatie bij de hand te hebben (hotelreserveringen e.d.) - dat scheelt weer de nodige printjes. Ook een tevreden Dropbox gebruiker? Morningstar Systems is per 1 januari 2010 verder gegaan als I.R.I.S. Nederland. Het zal interessant zijn om te zien wat voor een invloed de producten van I.R.I.S. (bijvoorbeeld DocCenter en Docshare) - aangezien deze producten qua functionaliteit een grote overlap met Worksite vertonen - zullen hebben op de werkzaamheden van I.R.I.S. Nederland.

Beide partijen (Epona en I.R.I.S./Morningstar) staan goed aangeschreven.

Before you decide to migrate - make sure you have thoroughly tested all your existing software for compatibility with Windows 7. It surprises me how slow most companies are with providing information on Windows 7 compatibility. Most product specifications and software requirement overviews on websites do not mention the existence of the new Windows version at all. To add to the complexity: Windows 7 comes in both a 64-bit and a 32-bit version. Which version should you install?

The short answer is that you should go with Windows 7 64-bit unless you’re running a system well into its antiquity where driver support is going to become an issue.

Check out the Windows 7 Compatibility Center to search for compatible software and hardware. Unfortunately, mostly consumer software is listed on this site. If software is written for 32-bit Windows then it will most likely install as a x86 (32-bit) program under your 64-bit Windows.

The most worrisome will be the more obscure hardware that does not have driver updates available or the occasional lawyer that is wondering why his/her old Palm PDA software does not work anymore. Within the next six months, most major hardware and software manufacturers should have made their current products all Windows 7 compatible. For older hardware (or software) there will probably be ways to circumvent the problems. I was worried for example that some the Smart Card readers that are commonly used in the Netherlands would not be supported yet. That worry seems to have been unneccessary.

In the next few weeks I will be doing more hardware and software tests with Windows 7 as I am trying to introduce the OS at a Dutch law firm (remaining on Windows XP for most users). If anything important comes up, I will post that here. Preliminary findings so far show the VPN program (OpenVPN) and the Anti-Virus software (McAfee) both need updating (both free of charge).

Virtualisatie is natuurlijk allang niet nieuw meer - afgelopen decennium was virtualisatie al een veel besproken topic. De business case was voor mij echter niet altijd even sterk (wel voor grote serverparken - niet voor kleine tot middelgrote serverparken met ongeveer 3 tot 15 servers). Er zijn een aantal duidelijke voordelen:

• De restore tijd bij calamiteiten kan in een virtuele serveromgeving sterk worden teruggebracht maar dan moet er wel een tweede server (waarop de virtuele machines kunnen draaien) klaar staan.
• Het toevoegen van een server (omdat dat bijvoorbeeld door de aanschaf van nieuwe applicatiesoftware vereist is), kan eenvoudiger en hoeft geen extra hardware investeringen met zich mee te brengen.
• Het beheer en onderhoud wordt flexibeler.
• Er kunnen eenvoudig test omgevingen worden ingericht (door simpelweg servers toe te voegen).

Maar er zijn ook nadelen te bedenken:

• Het toevoegen van een virtualisatie laag voegt een extra "point of failure" toe.
• Wanneer de fysieke server het begeeft, liggen meteen alle daarop draaiende virtuele servers plat. Als er dan niet een tweede server voorhanden is, waar de virtuele machines op gestart kunnen worden, kan de restore tijd juist langer worden dan bij traditionele (fysieke) servers.
• Professionele virtualisatiesoftware (van bijvoorbeeld VMWare) is relatief prijzig.
• Het beheer van virtuele servers vergt meer expertise van IT personeel.

Al met al ben ik van mening dat de voor- en nadelen elkaar redelijk opheffen ware het niet voor nog een belangrijk voordeel dat ik hierboven weggelaten had: stroombesparing. Een serveromgeving van 10 servers die terug wordt gebracht naar 2 zware servers bespaart niet alleen veel stroom, maar creëert ook nog eens veel minder warmte. Hierdoor is weer minder koeling nodig (voor de serverruimte) en wordt er dus nog meer stroom bespaard. En dat tikt aan. In eerste plaats voor de kosten en in tweede plaats voor het milieu.

VMWare heeft hier zelfs een aantal online calculatoren voor ontwikkeld: één voor de kostenbesparing (TCO calculator) en één voor de milieubesparing (Green calculator). De nieuwste generatie processoren en servertechnologie doet er vervolgens nog een schep bovenop door ook de nodige stroombesparingstechnieken in zich te hebben. VMWare werkt hiermee samen met Intel. Zie de VMware website voor meer informatie over dit partnership. Intel claimt overigens dat haar nieuwste generatie serverprocessoren sowieso al een serververvanging waard zijn aangezien deze machines ten opzichte van servers van 3-5 jaar geleden zoveel zuiniger in stroomverbruik zijn dat de investering na een paar jaar al wordt terugverdiend (ook hier is een calculator voor beschikbaar).

Wat voor mij de Virtualisatie businesscase dus echt compleet heeft gemaakt, is de dubbele besparing (een lagere TCO (Total Cost of Ownership)) die een vermindering van het stroomverbruik met zich mee brengt.
